Who we are
Solyn Properties Ltd ("we" or "us") decides how your personal data is used when you contact us through solynproperties.com or lead.solynproperties.com. This makes us the "controller" of your data under UK data protection law.

What we collect
We collect only the details you give us, plus basic technical data from our websites.
- From our enquiry form: your name, phone number, email address, property postcode and number of bedrooms, and the property's full address if you choose to give it.
- From our booking page: your name, phone number, email address, the property's address and postcode, its number of bedrooms, and the time you book for your call.
- When we analyse your property: any further details you share about it, such as its current rent.
- When you visit our websites: our website providers may record technical details, such as your IP address and browser type, to run and secure the sites.
Why we use it
We use your details to reply to your enquiry, carry out your free property analysis and, if you become a client, manage your property. We do not sell your data.
| What we do | Legal basis |
|---|---|
| Reply to your enquiry and carry out your free analysis | Steps you ask us to take before a contract |
| Manage your property if you become a client | Performing our contract with you |
| Send you marketing emails or texts about our services | Your consent. You can withdraw it at any time. |
| Keep business records and run and secure our websites | Our legitimate interests in running our business |
Who we share it with
We share your details only with companies that help us run our business, and only for the reasons above.
- HighLevel (LeadConnector): our customer relationship management (CRM) system, which stores your enquiry and our notes.
- Netlify: hosts our main website and passes your form details to our CRM.
- Professional advisers, such as our accountant or solicitor, when needed.
- Authorities, when the law requires it.
HighLevel and Netlify are US companies, so your details may be stored or processed in the United States. Both say they are certified under the UK Extension to the EU-US Data Privacy Framework, which UK law recognises as giving your data adequate protection. HighLevel's data processing terms also include the UK International Data Transfer Addendum as a safeguard. HighLevel says some of its own service providers are in other countries, including India.
How long we keep it
We keep your details only for as long as we need them, then delete them.
- Enquiries that do not go ahead: 12 months after our last contact with you.
- Clients: for as long as we manage your property, then 6 years, in case of a legal claim about our contract.
- Website technical data: for as long as our website providers keep their standard logs.
- If you opt out of marketing: we keep your name and contact details on a do-not-contact list for as long as we send marketing, so we do not contact you again by mistake.
Marketing
We only send marketing emails or texts about our services to people who have agreed to receive them.
Every marketing message lets you opt out, using the instructions in the message. You can also email info@solynproperties.com. We do not share your details with other companies for their own marketing.
Your rights
UK data protection law gives you rights over your personal data. Some apply only in certain situations. You can ask us to:
- give you a copy of your data
- correct data that is wrong or incomplete
- delete your data
- limit how we use it
- stop using it where we rely on our legitimate interests
- send data you gave us to you or to another company, where the law allows
To make a request, email info@solynproperties.com. We will reply within one month, and in most cases there is no charge.
Complaints
If you are unhappy with how we have used your data, please contact us first at info@solynproperties.com. We will confirm we have received your complaint within 30 days, look into it, and tell you the outcome.
If you are still unhappy, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk or 0303 123 1113.
